Last updated: 31 October 2026

1. About this policy

Hillfort Studios Pte Ltd (UEN 202627450D) ("Hillfort", "we", "us") respects your privacy. This policy explains how we collect, use, disclose and protect your personal data in line with Singapore's Personal Data Protection Act 2012 (PDPA). It applies to our website, www.hillfortstudios.com, and to personal data you give us when you enquire about or use our services.

By using our website or giving us your personal data, you agree to this policy. If you do not agree, please do not submit your personal data to us.

2. Personal data we collect

  • Enquiry details: your name, email address, phone or mobile number and the content of your message when you use our contact form, email us, call or message us.

  • Client and project details: names, job titles, contact details and information needed to plan, deliver and invoice our services.

  • Images and recordings: photographs and video footage of people captured during shoots, events, weddings and productions we are engaged to cover.

  • Website and device data: IP address, browser type, pages visited, referral source and similar data collected through cookies and analytics tools.

  • Advertising data: information about how you reached our website from an online ad, collected through tools such as Google Ads.

Business contact information provided purely for business purposes is generally outside the PDPA's data protection rules, but we handle it with the same care.

3. How we use your personal data

We use your personal data to:

  • respond to enquiries and prepare quotations and proposals;

  • plan, produce and deliver our services, including photography, video, branding and digital marketing work;

  • manage client relationships, contracts, billing and payments;

  • understand how visitors use our website and improve it;

  • measure and improve the performance of our advertising;

  • send you updates or marketing about our services, only where you have agreed to receive them; and

  • comply with legal, regulatory and accounting requirements.

We will ask for your consent before using your personal data for any new purpose not described here, unless the law allows otherwise.

4. Photographs, videos and our portfolio

Images and footage we create belong to, or are licensed to, our clients according to our agreement with them. We may show selected work in our portfolio, website or social media only where our client agreement allows it, and we will remove an image of you on reasonable request. If you appear in footage we captured and have a concern, please contact our Data Protection Officer.

5. Cookies, analytics and advertising

Our website, hosted on Wix, uses cookies and similar technologies to keep the site working, measure traffic and support advertising. We use Google services, including Google Ads, to show our ads and to measure when someone contacts us after clicking an ad.

You can manage non-essential cookies through the cookie banner on our site or your browser settings. You can control personalised ads from Google at adssettings.google.com. Turning cookies off may affect how parts of the website work.

6. Who we share your personal data with

We do not sell your personal data. We share it only as needed with:

  • service providers who help us run our business, such as website hosting (Wix), email, cloud storage, analytics and advertising providers (such as Google), and accounting tools;

  • freelancers, crew or partners engaged on your project, who are bound to keep it confidential;

  • professional advisers such as lawyers and accountants; and

  • authorities, where the law requires it.

7. Transfers outside Singapore

Some of our service providers store or process data outside Singapore. When your personal data is transferred overseas, we take reasonable steps to ensure the recipient protects it to a standard comparable to the PDPA, for example through contractual safeguards.

8. Marketing messages

We will only send you marketing messages if you have agreed to receive them, and we comply with Singapore's Do Not Call rules. You can unsubscribe at any time using the link in our emails or by contacting us.

9. Withdrawing consent

You may withdraw your consent to our use of your personal data at any time by contacting our Data Protection Officer. We will tell you the likely consequences, for example that we may no longer be able to provide a service, and process your request within a reasonable time.

10. Accessing and correcting your personal data

You may ask to access the personal data we hold about you and how it has been used or disclosed in the past year, or ask us to correct it. We aim to respond within 30 days. If we need longer, we will tell you when we expect to respond. We may charge a reasonable fee for access requests and will tell you the amount first.

11. Accuracy, protection and retention

  • We take reasonable steps to keep the personal data we use accurate and complete. Please tell us if your details change.

  • We protect personal data with reasonable security measures, such as access controls, secure platforms and confidentiality obligations. No online transmission is completely secure, however.

  • We keep personal data only as long as needed for the purposes above or for legal and business reasons, then delete or anonymise it securely.

12. Data breaches

If a data breach affects your personal data, we will assess it promptly and notify the Personal Data Protection Commission (PDPC) and affected individuals where required by the PDPA.

13. Children

Our website and services are not directed at children. We do not knowingly collect personal data from anyone under 13 without a parent's or guardian's consent.

14. Visitors outside Singapore

We work with clients worldwide. If you live outside Singapore, you may have additional rights under your local data protection laws. Contact us and we will help where we can.
